By joining the The Groomers Base waitlist, creating an account, or using any part of the The Groomers Base service (the "Service"), you ("User", "you") agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service.
These Terms constitute a binding legal agreement between you and The Groomers Base. If you are using The Groomers Base on behalf of a business entity, you represent that you have the authority to bind that entity to these Terms.
The Groomers Base is a cloud-based business management platform for independent dog groomers and small grooming salons. The Service includes:
The Groomers Base is not a marketplace. We do not source clients for you or take any commission on your bookings. Stripe's standard payment processing fee applies to client payments.
You must be at least 18 years of age to use The Groomers Base. By using the Service, you represent that you meet this requirement. The Groomers Base is intended for use by professional groomers and grooming businesses — not for personal, household, or unrelated commercial purposes.
Joining the The Groomers Base waitlist does not create an account, guarantee access, or establish a contractual obligation between you and The Groomers Base. The waitlist is a mechanism for us to communicate with prospective users and manage launch capacity.
By joining the waitlist, you consent to receive email communications from The Groomers Base regarding product updates, your access status, and related announcements. You may unsubscribe at any time using the link in any email we send.
The Groomers Base offers a 30-day free trial for all new accounts. During the free trial:
At the end of the 30-day trial, you will be asked to enter payment details to continue. If you do not provide payment details, your account will be paused and your data retained for 30 days before deletion.
The Groomers Base reserves the right to modify the duration or terms of the free trial at any time for new users. Trial terms in effect at the time you registered will be honoured for your account.
This section is important. It defines the pricing guarantee for founding members and the conditions under which it applies.
The first 50 users who complete a paid subscription on The Groomers Base ("Founding Members") will receive the following pricing guarantee:
This pricing is locked for the lifetime of your The Groomers Base account, meaning it will not be increased as long as all of the following conditions are met:
Important: If you cancel your subscription and later reactivate after a gap of more than 60 days, founding member pricing may no longer apply. Your founding member status is tied to continuous, uninterrupted use of the Service.
The Groomers Base reserves the right to change subscription prices for non-founding-member accounts at any time with 30 days' written notice. Founding members will be unaffected by such changes for as long as the conditions above are met.
In the unlikely event that The Groomers Base is acquired, merged, or undergoes a material change in ownership, we will use reasonable commercial efforts to honour founding member pricing, but cannot guarantee it beyond such events.
The Groomers Base offers two subscription plans: Basic ($39/mo) and Pro ($49/mo). Plan features are described on our pricing page and may be updated from time to time with notice.
Subscriptions are billed monthly, in advance, on the anniversary of the date you first subscribed. All prices are in US Dollars (USD).
Subscription payments are processed by Stripe, Inc. By providing payment details, you authorise The Groomers Base to charge your payment method on a recurring monthly basis. Stripe's terms and privacy policy apply to all payment transactions.
If a payment fails, we will retry up to three times over seven days. If payment is not collected after three attempts, your account will be suspended. You will retain access to your data for 30 days to resolve the payment issue, after which your account may be terminated.
The Pro plan includes 700 SMS messages per calendar month. SMS messages are used for booking confirmations, appointment reminders, and review requests sent to your clients. Unused messages do not roll over to the following month. If you consistently exceed 700 messages per month, contact us at hello@groomersbase.com to discuss your options.
All subscription prices are exclusive of applicable taxes. You are responsible for any sales tax, VAT, or similar taxes applicable in your jurisdiction. Where required, The Groomers Base will collect and remit applicable taxes.
You may cancel your The Groomers Base subscription at any time from your account settings. Cancellation takes effect at the end of the current billing period. You will retain full access to the Service until that date.
Refund policy: The Groomers Base does not issue prorated refunds for unused days in a billing period, except:
You agree to use The Groomers Base only for its intended purpose — managing a legitimate dog grooming business. You agree not to:
Violation of this section may result in immediate account suspension or termination without refund.
You own all data you input into The Groomers Base, including your client records, appointment history, photos, and business information ("Your Data"). The Groomers Base does not claim any ownership over Your Data.
You grant The Groomers Base a limited, non-exclusive, royalty-free licence to store, process, and display Your Data solely as necessary to provide the Service to you. We will never use your client data for advertising, analytics, or any purpose outside of operating the Service.
You are responsible for ensuring that your collection and use of client data (names, emails, phone numbers, pet information) complies with applicable data protection laws. By using The Groomers Base to manage client data, you represent that you have obtained any necessary consent from your clients.
You may export your data at any time from your account settings. On cancellation, you have 30 days to export your data before it is deleted.
The The Groomers Base platform, including its software, design, trademarks, logos, and documentation, is owned by The Groomers Base and protected by applicable intellectual property laws. Nothing in these Terms transfers any intellectual property rights to you.
You may not copy, reproduce, distribute, or create derivative works of any part of The Groomers Base without our express written permission.
We aim to provide a reliable, high-availability service. However, we do not guarantee 100% uptime. Scheduled maintenance will be communicated in advance. Unplanned outages may occur.
If the Service experiences downtime of more than 24 cumulative hours in a single calendar month due to causes within our control, you are entitled to a prorated credit for that month. Credits must be requested within 30 days and cannot be exchanged for cash.
We are not liable for downtime caused by third-party services (including Stripe, Twilio, or hosting providers), force majeure events, or actions taken by you.
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, GROOMDESK AND ITS OPERATORS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, LOST REVENUE, LOSS OF CLIENT DATA, OR BUSINESS INTERRUPTION, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF THE SERVICE.
IN NO EVENT SHALL GROOMDESK'S TOTAL LIABILITY TO YOU FOR ALL CLAIMS ARISING OUT OF OR RELATED TO THESE TERMS OR THE SERVICE EXCEED THE GREATER OF: (A) THE TOTAL AMOUNT YOU PAID TO GROOMDESK IN THE 12 MONTHS PRECEDING THE CLAIM, OR (B) $100 USD.
Some jurisdictions do not allow the exclusion of certain warranties or limitation of liability. In such cases, the above limitations apply to the fullest extent permitted by law.
You agree to indemnify, defend, and hold harmless The Groomers Base and its operators from and against any claims, damages, losses, and expenses (including reasonable legal fees) arising from: (a) your use of the Service; (b) your violation of these Terms; (c) your violation of any applicable law; or (d) any dispute between you and your clients relating to appointments, payments, or services you provide.
You may terminate your account at any time by cancelling your subscription in account settings or by contacting us at hello@groomersbase.com. Termination takes effect at the end of the current billing period.
We reserve the right to suspend or terminate your account immediately, without notice or refund, if:
Upon termination, your right to access the Service ceases immediately. Your data will be retained for 30 days to allow export, after which it will be permanently deleted.
We may update these Terms from time to time. For material changes, we will notify you by email at least 30 days in advance and update the "Last updated" date above. Your continued use of the Service after the effective date of changes constitutes acceptance.
If you do not agree with a material change, you may cancel your subscription before the effective date and receive a prorated refund for any prepaid period remaining.
These Terms are governed by and construed in accordance with the laws of the Republic of Cyprus and applicable European Union regulations, without regard to conflict of law principles.
For users in the European Union: nothing in these Terms removes your rights as a consumer under applicable EU or member-state consumer protection law.
We encourage resolving disputes informally first — email us at hello@groomersbase.com. If a dispute cannot be resolved informally within 30 days, it shall be submitted to the competent courts of Cyprus.
For US users: you agree that any claim must be brought in your individual capacity and not as a class action. Nothing in these Terms waives any rights you have under applicable US federal or state consumer protection laws.
